Office Assistant

Reports to/Supervisor: Office Manager & Accountant

Position Summary:

The Office Assistant will provide administrative support to the staff canons. This position will be responsible for coordinating and maintaining communication with all vendors. This position will work closely with the Assistant to the Dean.

The Office Assistant functions as the receptionist of the Cathedral.

This is a part time position of 13 hours a week. This also includes the employer’s contribution for FICA.

Duties and responsibilities

The Office Assistant will be responsible for:

  • Providing administrative support to the Canon for Congregational Development & Pastoral Care and the Canon for Latino Ministries (stewardship campaign mailings, congregations’ general mailings, large congregational events, support to Congregation Committee and Ministry Teams etc.).
  • Functioning as receptionist for the Cathedral House (e.g., attend incoming calls, welcome walk-ins and monitor doorbell).
  • Manages requests for sacramental records (weddings, baptisms, funerals, etc.)
  • Coordinating Alms interviews.
  • Communicating and scheduling vendors for building related matters in collaboration with the Assistant to the Dean & Event Coordinator.
  • Providing administrative support to the Assistant to the Dean and to the Office Manager
  • Working and coordinating with the Building Manager.
  • Attending weekly staff meetings and meetings that impact on employee’s responsibilities.
  • Basic IT Support.
  • Other tasks as assigned by the Accountant & Office Manager.

  • Ability to work with parishioners with diverse personalities, cultures, and differing opinions.
  • Willingness to work occasionally on a weekend (e.g., Annual Meeting, special events)
  • Proficiency in Microsoft Office and willingness to learn new software.
  • Must be able to respond to changing needs with flexibility and openness.
  • Must be certified by Safe Church Training, Sexual Harassment Prevention Training. (training will be provided)
